This section allows for you to pre-invite attendees to your event. It also allows you to custom design the invitation.
Attendees:
| • | This field allows you to input the list of attendees you plan to invite to the event. You can manually type them in and seperate each email address by a comma ",". If you have a list of emails in a spreadsheet or other application, you can cut and paste them into this field. You will still need to make sure they are separated by comma's. |
| • | If you choose to permanently add names and emails to your personal online IBtalk address book, you can do so by selecting "My Address Book" in the menu on the left side of the screen. In this screen you can select to "Add Group". Once you add your group name, you can select that group from your list of groups and choose to "Add Contact". Once you build your contact list, you can easily input this list into your meeting attendee invite section. |
Max Attendees:
| • | As an administrator, you can control how many attendees can join each event. Depending on your current account will determine how many total attendees can occupy each room. If you are planning to have multiple events running at the same time, you can set limited on each room. |
Security:
| • | These first check box is always checked as a default. It automatically checks each attendees PC and insures that their system is compatible to join the meeting. It is NOT suggested that you turn this feature off. |
| • | The second check box is not checked by default. When checked, it will exclude the password from the email notification that each attendees gets. |
Email Text:
| • | This feature allows the creator of the event to create an email that would be send to each attendee that was invited to the event. This feature works very much the same way as a standard word processor works.. If you prefer to be more creative and design your event in HTML, there is an HTML editor build into this feature. If you create your agenda in another application like Microsoft FrontPage or Dreamweaver, you can simply cut and paste the HTML code directly into this tool by clicking on the HTML CODE tab at the bottom of the window and pasting your custom code in. |
